Welcome to Story & Legacy Films LLC. These Terms and Conditions explain the rules for using our website, booking our services, submitting materials, making payments, and receiving final project deliverables.

By using this website, contacting us, booking a consultation, submitting materials, paying an invoice, or purchasing any service from Story & Legacy Films LLC, you agree to these Terms and Conditions.

    • Photo, video, document, or keepsake scanning
    • Family-submitted questions
    • Editing and post-production

    2. Website Use

You agree to use this website only for lawful purposes. You may not use this website to:

    • Violate any law or regulation
    • Submit false, misleading, harmful, abusive, or unlawful content
    • Attempt to hack, damage, disable, or interfere with the website
    • Copy, steal, reproduce, or misuse our website content, branding, images, videos, copy, design, or intellectual property
    • Impersonate another person or business
    • Collect information from the website without permission

We may restrict access to the website or refuse service if we believe these Terms have been violated.

    3. Consultations and Booking

A consultation call does not guarantee availability, pricing, or acceptance of a project. We reserve the right to decline any project for any reason, including scheduling limitations, project scope, location, content concerns, safety concerns, or fit.

A project is not officially booked until any required deposit, down payment, signed agreement, or invoice payment has been received and confirmed.

    4. Pricing and Payment

Pricing may vary depending on the package, location, filming needs, editing needs, add-ons, travel, timeline, custom requests, and complexity of the project.

    Unless otherwise stated in writing:

    • Payments are due according to the invoice or payment schedule provided.
    • A down payment or deposit may be required to reserve a project date.
    • Payment plans may be available when approved by Story & Legacy Films LLC.
    • Split payments between family members or multiple parties may be allowed when approved in writing.
    • Late, missed, or failed payments may pause filming, editing, delivery, or access to final files.
    • Final deliverables may be withheld until the project balance is paid in full.

All prices are subject to change unless already confirmed in a written proposal, invoice, or signed agreement.

    5. Deposits and Down Payments

Deposits and down payments reserve time on our production calendar and allow us to begin planning your project.

Unless otherwise stated in writing, deposits and down payments are non-refundable once paid. This is because project time, planning, scheduling, preparation, equipment, contractor coordination, and opportunity costs begin before filming or delivery.

In some cases, a deposit may be transferable to a new project date if rescheduling is approved.

    6. Payment Plans

If a payment plan is approved, the client agrees to make each payment on time according to the agreed schedule.

If a payment is missed, delayed, declined, disputed, or reversed, Story & Legacy Films LLC may pause all work, withhold final deliverables, remove access to private files, cancel future filming dates, or require payment in full before continuing.

Payment plans do not change the total amount owed unless otherwise agreed in writing.

    7. Cancellations and Rescheduling

Because legacy film projects require planning, scheduling, travel, preparation, and production time, cancellation and rescheduling policies are important.

    Unless otherwise stated in writing:

    • Rescheduling requests should be made as early as possible.
    • We will make reasonable efforts to accommodate one reschedule when possible.
    • Additional rescheduling may result in added fees.
    • Cancellations may result in forfeiture of deposits or payments already made.
    • If a cancellation occurs after significant work has begun, the client may still be responsible for payment for work already performed.
    • No-shows or same-day cancellations may be treated as a forfeited session.

Emergency circumstances, illness, end-of-life situations, weather, travel delays, or family emergencies will be handled with care, but we cannot guarantee availability for every requested date.

    8. Client Responsibilities

To complete your project successfully, you agree to:

    • Provide accurate contact and billing information
    • Respond to reasonable project communication in a timely manner
    • Provide requested photos, videos, documents, names, questions, or other materials by the agreed deadlines
    • Make sure filming locations are safe, accessible, and legally available for filming
    • Obtain permission from property owners when filming on private property

    • Make sure all required decision-makers understand and approve the project
    • Review drafts or deliverables within the requested review period
    • Pay invoices on time

Delays caused by late materials, missed communication, unavailable family members, location problems, or delayed payments may extend the project timeline.

    9. Filming Locations, Travel, and Safety

The client is responsible for making sure filming locations are safe, accessible, and appropriate for the project.

Story & Legacy Films LLC may refuse, pause, or end filming if a location is unsafe, unlawful, inaccessible, disruptive, or not suitable for production.

Travel outside our normal service area may require additional fees for mileage, lodging, airfare, meals, parking, permits, baggage, rental vehicles, or other travel-related expenses. These costs will be discussed when applicable.

Legacy films may include emotional, personal, or sensitive topics. This may include grief, illness, death, family conflict, faith, finances, regret, trauma, personal hardship, or private family history.

You retain ownership of the original materials you provide. By giving those materials to Story & Legacy Films LLC, you grant us permission to copy, scan, organize, edit, restore, modify, incorporate, and use those materials solely as needed to complete your project.

We will make reasonable efforts to care for physical materials, but we are not responsible for loss, damage, fading, deterioration, mailing issues, shipping delays, or pre-existing damage to original materials. Whenever possible, we recommend providing copies instead of irreplaceable originals.

    13. Copyright and Ownership
